Administrative Assistant (Education)

Reporting to the Education Manager, the Administrative Assistant supports the Education Department in assisting the delivery of quality education programs and services to the community. This position provides administrative and clerical support to ensure the smooth operation of the department, assists with program coordination, maintains student and funding records, and supports the Education Manager in communicating with the schools, community, families and students and the Nation.

We are seeking someone who brings a background in providing effective administrative and clerical support, contributing to the smooth operation of education programs and services. They are experienced in coordinating activities, maintaining accurate records, and fostering clear communication among students, families, schools, and the community. Their approach is rooted in respect for Indigenous values and a commitment to upholding the culture, language, and well-being of the Pacheedaht First Nation.

This is a temporary contract until the end of February, with the potential to transition into a full-time capacity depending on departmental needs and performance.

Duties and Responsibilities:
As the Administrative Assistant for Pacheedaht First Nation, you will carry out the following tasks.

Administrative Support

• Provide general administrative support to the Education Manager and staff.
• Prepare correspondence, memos, reports, and meeting materials.
• Maintain organized filing systems for student records, funding applications, and program files (both digital and paper).
• Answer phones, respond to inquiries, and direct messages appropriately.
• Schedule appointments, meetings, and travel arrangements for education staff.

Program & Student Support

• Assist with the preparation and processing of student funding applications (post-secondary, tutoring, supplies, etc.).
• Track and update student lists, attendance reports, and other education data.
• Support coordination of community education programs, events, and training opportunities.
• Liaise with schools, post-secondary institutions, and community partners on behalf of the Education Department.

Financials & Reporting

• Assist with budget tracking, purchase orders, and payment requests.
• Record and track expenses for supplies, events, and student support.
• Help prepare monthly and annual reports, meeting minutes, and documentation for funding agencies.

Community Engagement

• Support communication between the Education Department and community members, including creating notices, newsletters, and social media updates.
• Participate in community events, meetings, and education-related activities as required.


Lived and learned experience we are seeking
To be the successful candidate for this position, you will have/demonstrate:

Education or equivalent:

  • Education or equivalent: Certificate or diploma in Office Administration or related field; or equivalent combination of education and experience.
    • Systems knowledge: Strong computer skills, including Microsoft Office (Word, Excel, Outlook) and database management.
    • Skills grounded in lived experience: Minimum 1–2 years of administrative experience, preferably in an educational or First Nations setting.
    • People & relationships: Excellent communication, relationship-building, and collaboration skills; skilled in problem solving and conflict resolution.
    • Indigenous experience: Indigenous lived experience and/or significant experience working with Indigenous communities is strongly valued.
    • Certifications & Checks: Clear Criminal Record Check, including the vulnerable sector, as required.
