Office Manager — Band Office & Health Clinic

Reporting to the Band Manager and working in close relationship with the Health Director, the Office Manager supports the daily flow of work across both the Health Clinic and the Band Office. This role helps hold together the administrative and operational pieces that allow staff, programs, and services to function in a good way. The Office Manager brings organization, coordination, and care to both spaces — supporting staff, service providers, and community members through respectful relationships, clear communication, and thoughtful planning. This role supports a trauma-informed, culturally safe, and efficient environment for staff and community members accessing services.

Duties and Responsibilities:
Health Clinic Operations

• Support and coordinate non-professional staff, including MOA, janitorial, homemaking, and general support roles

• Help organize schedules, workflows, and daily operations so the clinic can run smoothly

• Ensure medical, office, and cleaning supplies are available and well managed

• Support the care of the clinic space, including cleanliness, maintenance, and safety

• Coordinate logistics for visiting providers, clinics, training, and community programming

• Maintain organized systems for records, scheduling, and shared spaces

• Support respectful communication between clinical and non-clinical staff and respond to operational questions

Band Office Operations

• Help maintain and strengthen administrative systems, processes, and ways of working across departments

• Support shared tools and resources such as calendars, templates, filing systems, and office equipment

• Help ensure the Band Office remains a clean, safe, and welcoming space for staff and community members

• Support communication between staff, leadership, and Chief & Council in a clear and respectful way

• Assist in preparing and sharing community notices, updates, and information

• Help coordinate meetings, gatherings, workshops, and community events

• Support the care and upkeep of office equipment and work with service providers when needed

• Maintain supplies and materials so staff have what they need to do their work

General Responsibilities

• Support coordination across both sites, helping align processes, schedules, and shared resources

• Keep records, contracts, and operational information organized and accessible

• Provide administrative and coordination support to leadership when needed

• Contribute to a workplace that values respect, accountability, and care for one another

• Carry out other related responsibilities as needed

• Carry out other related duties as required and requested

Lived and learned experience we are seeking
Required

Education, experience & certifications

• Minimum 2–3 years of experience in office management, administration, or coordination

• Experience in a health clinic, Band Office, or community-serving environment is an asset

• Comfort with Microsoft Office tools (Word, Excel, Outlook, Teams)

• Experience with inventory, purchasing, or administrative systems is an asset

• Clear Criminal Record Check required

Preferred

• Experience in a health care or clinical setting

• Knowledge of inventory systems and basic budgeting

• Familiarity with trauma-informed or culturally safe practices
