Receptionist (Temporary)

Reporting to the Band Manager, the Receptionist serves as the first point of contact for visitors and callers and provides day-to-day clerical support. This role is essential in maintaining a welcoming and professional environment while assisting various departments with routine clerical tasks and coordination.

This is a temporary contract until the end of March, with the potential for extension depending on departmental needs and performance.

Duties and Responsibilities:
As the Receptionist for Pacheedaht First Nation, your key responsibilities will be to:

  • Greeting and welcoming visitors in person, by phone, and by email in a courteous and professional manner.

  • Answering, screening, and directing incoming calls and general inquiries to the appropriate staff or department.

  • Maintaining the reception area and common spaces to ensure they are tidy, organized, and welcoming.

  • Receiving, sorting, and distributing incoming mail, deliveries, and courier packages; preparing outgoing mail and shipments.

  • Scheduling meetings, coordinating room bookings, and assisting with meeting setup as required.

  • Performing general administrative tasks such as filing, data entry, photocopying, scanning, and document preparation.

  • Maintaining office supply inventory and placing orders as needed.

  • Supporting staff with routine clerical and administrative requests.

  • Handling sensitive information with discretion and maintaining confidentiality at all times.

  • Carrying out other related duties as assigned to support efficient office operations.

    To be the successful candidate for this position, you will have/demonstrate:

  • Education & Experience: High school diploma and 1–2 years of experience in a receptionist role, including experience working in a professional office environment (or an equivalent combination of education and experience).

  • Communication & Customer Service: Strong interpersonal and customer service skills with excellent verbal and written communication.

  • Organization & Time Management: Ability to manage multiple tasks, prioritize workload efficiently, and maintain strong attention to detail and organizational systems.

  • Technical Skills: Working knowledge of Microsoft Office and Google Workspace (G-Suite).

  • Professionalism & Teamwork: Professional demeanor with the ability to maintain confidentiality; comfortable working independently and as part of a team.

  • Reliability: Reliable, punctual, proactive, and able to follow through on commitments.

  • Certifications: Valid First Aid Level 1.
